Preventive maintenance for construction equipment: a practical schedule.

A practical, engine-hour-based service schedule for the machines you actually run — with the intervals, the checks, and how to plan the work without stopping the site.

Preventive maintenance for construction equipment is a discipline problem, not a technical one. The intervals are in every OEM service manual. The reason machines still break in the middle of a pour is that no one on the yard knew the 500-hour service was due today, and the operator ran the machine four more hours before someone noticed.

A workable preventive maintenance schedule has three parts: the interval, the checklist, and the plan for when to do it.

Standard intervals (excavators, wheel loaders, telehandlers).

  • Every 10 engine hours (daily): walk-around, fluid levels, greasing points, tyre/track condition, undercarriage debris
  • Every 250 hours: engine oil and filter, air filter check, hydraulic-oil sample
  • Every 500 hours: fuel filters, cabin filter, hydraulic filter, coolant condition, battery check
  • Every 1,000 hours: hydraulic oil, transmission oil, differential and final drive oils on wheeled machines
  • Every 2,000 hours: coolant flush, full injector and turbo inspection, undercarriage measurement on tracked machines
  • Every 5,000 hours: major overhaul review — hydraulics, cooling, DEF/AdBlue system, structural inspection

OEM intervals vary — CAT and Volvo often extend the 500-hour hydraulic-filter interval on newer machines with better filtration. Always defer to the machine's own service manual when it differs.

Trigger by engine hours, not by date.

A machine that works 12 hours a day, five days a week, hits its 500-hour service in about 8 weeks. A machine on a slow site might take 6 months. Calendar-based planning either over-services the first (money) or under-services the second (breakdowns). Read live engine-hour counters from telematics and trigger the service task when the machine crosses 90% of the interval, so the parts and the technician are ready when it hits 100%.

Plan the work around the site, not the workshop.

The biggest hidden cost of preventive maintenance is the machine sitting idle waiting for a slot in the workshop. Fixes that work in practice:

  • Mobile service vans for anything below a 1,000-hour job
  • Book the service into the site schedule the week before, not the day of
  • Bundle two adjacent intervals — do the 500 and the 1,000 in one visit if the machine is within 100 hours of both
  • Pre-kit the parts against the schedule so the technician arrives with everything on the van

Fault codes are not the schedule.

SPN/FMI codes tell you something has already gone wrong or is about to. A good preventive maintenance program means most of those codes never fire. When they do — treat them as data, not the plan. See our companion article on OEM fault codes for how to triage them.
